Choose a practical first use case

Get permission and set expectations

Make it clear what messages a person is signing up to receive. Keep a record of permission and provide an easy way to stop marketing messages. An enquiry should not be treated as blanket permission for unrelated promotions. WhatsApp’s guidance explains that signing up through a business website or ad grants permission to contact the person; your actual flow still needs to match the intended use and current platform rules.

Select the right setup

A small team may start with the WhatsApp Business app’s available business tools. More complex routing and CRM workflows may require the Business Platform and an appropriate provider. Before implementation, check current country availability, template requirements, permitted use cases and pricing directly with the platform or provider. These details change, so avoid building a budget around an old rate card.

Design for a human handoff

Offer a clear route to a person and explain response hours honestly. If the system cannot answer, capture the question and pass the context along. Do not make customers repeat everything. Review automated answers for accuracy and prevent the system from inventing prices, availability or commitments. Keep sensitive personal information out of routine marketing workflows.

Connect conversations to outcomes

Record the enquiry source, qualification status and next action in your CRM. Measure response time, qualified conversations, booked appointments and sales where attribution is available. Also review opt-outs and recurring unanswered questions. High message volume is not useful if customers are confused or the sales team cannot keep up.

Launch small and improve

Test the journey internally, including unclear questions and requests to stop. Start with one segment, review transcripts appropriately and correct friction before expanding. Use concise language your customers understand, whether English, Urdu or a mix. Automation should make the exchange easier while preserving the customer’s ability to choose what happens next.
